OUR OWN LIVES – Administrative and Fundraising Assistant

Our Own Lives is hiring an Administrative and Fundraising Assistant to do exactly that! Our Own Lives is a disability services organization that began providing direct services to adults with intellectual and developmental disabilities in Southwest Colorado in July of 2024. The Administrative and Fundraising Assistant will support the administrative operations of the organization. The position is responsible for: 

·        Schedules, meeting reminders, emails and other communication 
·        Clerical and office duties 
·        Assisting program and direct service staff with office needs 
·        Technology and subscriptions 
·        Phone systems and voicemails 
·        Scheduling and coordinating fundraising events 
·        Identifying and assisting with grant applications 
·        All physical mail and depositing checks

Job Description: Performs administrative support for the organization and helps Executive Staff with day to day tasks associated with running a large nonprofit organization. Responsibilities may include filing and record keeping, preparing materials for board and committee meetings, handling routine correspondence, maintaining office supplies and equipment for all office sites, establishing office procedures which ensure efficiency, oversee the cleaning and maintenance of the offices and facilities, create a healthy and fulfilling atmosphere for staff and visitors, and other duties as assigned. Attention to detail, communication skills, and excellent computer skills are essential to this job.  Normal work hours are Monday – Thursday part time.  Some evenings and weekends may be necessary to assist with fundraising events.
 
 
Responsibilities: 
·        Send communications and set meetings using regular mail, Microsoft Outlook, Constant Contact, Therap, etc. 
·        Perform light clerical duties (copying, scanning, faxing, mailing, and filing). 
·        Organize and perform setup and cleanup for meetings and events. 
·        Help with the leg work of various projects and fundraising events. 
·        Make travel arrangements as needed. 
·        Make bank deposits and mail out AP checks to vendors in a timely manner. 
·        Enter data into donor database, run reports, send donation letters/thank you’s. 
·        Assist in updating the company website and social media. Create and/or modify documents using Access, Excel, Microsoft Word, Mail Chimp 
·        Design and implement office policies. 
·        Conduct correspondence relating to office management. 
§  Ensure a safe work environment for employees. 

  • Maintaining the office equipment and scheduling repairs whenever necessary.
  • Maintain confidentiality of sensitive data.
  • Maintain a balanced office budget. 
  • Manage all office supplies for offices in Durango. 

§  Maintain a good rapport with customers, employees, and people in services. 

§  Order office supplies and assist with facilities maintenance for non-administrative sites as requested.
 
§  Order other items and supplies as needed by other programs.
 
§  Assist with processing Accounts Payable twice a month.  

  • Code incoming checks and process deposits for the accounting office. Take deposits to the bank as requested.
  • Code invoices pertaining to office and facility utilities, supplies, maintenance, leases, and contracts

·        Manage technology and communication subscriptions.
 
  • Answer incoming calls and route to appropriate locations. Change voice message for closures, including having Netforce assist with emergency closure phone notifications.
  • Greet all incoming customers promptly and assist with their inquiries. 
  • Assist staff with general information, including: the use of office equipment and applications, and resolving general issues. Request assistance or referral to management when needed.
  • Assure all emails and faxes are dispersed appropriately and filed within the OOL email.
  • Assure all mail is processed daily. Collect mail daily and date stamp accordingly. Disburse mail appropriately. Assure mail is taken to the postal box in a timely manner.

·        Order business cards for new administrative staff and order informational materials as needed.
 
·        Send out cards, flowers or other gifts for condolences, etc. as requested by Managers
 
·        Identify and assist CEO with applying to various grants
 
·        Assist Program and Direct Service Staff as needed

Qualifications:
 
  • Minimum of a high school diploma; four year college degree preferred (lived experience
  • Three year’s experience with general administrative tasks

Physical Demands of the Job:  These essential tasks may be performed with or without accommodations or assistive technology. Employees in this position may spend significant hours on the computer writing and corresponding. The employee must be able to read text on the computer and paper documents. Communicating with clients via email, letters and telephone is required. An employee in this position will use a laptop computer and may also have documents and files that they will need to transport within and outside the office. The employee will be required to attend meetings, training, and other community activities within the region of Southwest Colorado, with the possibility of occasional travel within Colorado or out of state to training or conferences.
